How to select a vendor when you are a small business:
If you are a small business, you may be at a disadvantage in a
few areas where big businesses spend a lot of money to gain the
competence. One of them is vendor selection and vendor management,
the other is negotiation. We want to take this opportunity to share
with you some valuable information on vendor selection and management.
We will update this site for advice on negotiation sometime soon.
Business Needs/Processes: Spend a little time
understanding in plain English what it is that you need and the
processes you are currently utililizing to accomplish the right
results.
Create potential vendor list: There are several
ways to come up with a potential vendor list. One common way is
to ask around and see what names come up. This isn't always the
best way though. You will find some amazing companies and great
deals if you are open to non-traditional ways of finding vendors.
One approach is to contact your local Better Business Bureau to
see who's listed with them. Another approach is to seek out some
names from your local Chamber of Commerce. Both these approaches
will reveal vendors that may be new and haven't established a great
reputation yet. Hence you can get fantastic deals if you are able
to assess their competence level. We will get to that in the next
section.
Vendor short list: From the initial list of vendors
you created, you need to do some initial screening to come up with
a short list. There are several ways to do this. You could use your
budget to reduce the list but is generally not a good idea. This
is because in most cases, you can't afford to sacrifice quality
with price. A popular way is to look at their qualifications whethere
it is their client list or technical certifications. Another popular
way is to test their customer service by contacting them via phone
or e-mail and see how quick they are to answer your questions or
even return your phone calls/e-mails. Also look to see if they have
a process in place to provide you the service. Has somebody at the
vendor thought through what is involved in providing you the service
that you are paying for? If they have really thought the process
through, they should be better able to meet your needs.
Final selection and Backup plan: No matter how
much research you have done, it is a good idea to select a first
choice and a second choice lender. This is for two reasons - negotiation
and to have a backup plan.
